NABL Audit Readiness Checklist for Calibration Laboratories

Most NABL assessment findings aren’t caused by a lab doing bad calibration work — they’re caused by a lab doing good work that it can’t quickly prove it did, in the way the standard requires. This checklist is organized the way an assessment actually flows, so you can walk through it the same way an assessor will.

1. Documentation and quality management system

  • Is the quality manual current, version-controlled, and does it reflect what the lab actually does — not a template copied from elsewhere with the name changed?
  • Are all SOPs reviewed within their scheduled revision cycle, with obsolete versions clearly withdrawn from circulation?
  • Does your scope of accreditation document match the parameters, ranges, and calibration and measurement capabilities (CMCs) you’re actually performing?
  • Is there a documented, closed-loop record of the last internal audit, including findings and corrective actions taken?
  • Is there a documented management review from within the last cycle, with real inputs (complaints, audit results, resource needs) and real outputs (decisions, actions)?

2. Personnel competence

  • Does every technician performing calibration have documented training and competence records for the specific parameters they’re authorized to work on?
  • Is there a record of who authorized each technician, and when their competence was last verified?
  • For any new technician or new parameter added to someone’s authorization, is there evidence of training completion before they started signing off work?

3. Traceability of reference standards

  • Is every reference/master standard’s own calibration certificate current, with no gaps in the traceability chain to a national or international standard?
  • Can you produce, for any reference standard, the unbroken chain of certificates showing how its traceability was established?
  • Are recalibration intervals for reference standards justified — based on drift history and manufacturer recommendation, not an arbitrary fixed interval?

4. Environmental conditions

  • Are environmental conditions (temperature, humidity, vibration) monitored and logged in the calibration area, with records available for the periods your certificates were issued?
  • If a parameter is environmentally sensitive, is the environmental effect quantified and included in the uncertainty budget — not just monitored and ignored?
  • Are there documented limits for acceptable environmental conditions, and evidence of what happens when they’re exceeded?

5. Measurement uncertainty

  • Does every certificate you issue carry a documented, defensible uncertainty statement appropriate to that specific parameter and range?
  • Can you show the full uncertainty budget behind any reported value — every contributor, not just the final expanded uncertainty?
  • Have uncertainty budgets been reviewed since the last time equipment, method, or environmental control changed?
  • Do your reported CMC values in your scope of accreditation match what your actual uncertainty budgets support?

6. Method validation and equipment

  • Is every calibration method you use either a published standard method, or — if it’s an in-house or modified method — properly validated with documented evidence?
  • Is all calibration equipment (not just reference standards) within its calibration validity at the time of use?
  • Is there a documented process for handling equipment found to be out of calibration or malfunctioning, including reviewing the validity of prior results?

7. Records and certificates

  • Can you retrieve the complete history — observation sheet, technician, equipment used, approver — for a certificate issued more than a year ago, in under a few minutes?
  • Does every certificate go through a documented multi-stage approval before release — calibrated, verified, authorized — with no path for an unreviewed draft to leave the lab?
  • Are unauthorized or draft certificates clearly and automatically distinguishable from final, approved ones (a watermark, a status field, something a recipient couldn’t miss)?
  • Is there a documented process for issuing a corrected or amended certificate, with the original retained and the correction clearly traceable?

8. Handling of nonconforming work

  • Is there a documented procedure for what happens when a calibration result, once issued, is found to be wrong — including notifying affected customers?
  • Are corrective actions from past nonconformities actually closed out, with evidence, not just logged and left open?

9. Customer-facing consistency

  • Do your certificates consistently follow the same format, calculation method, and level of detail across technicians and time periods?
  • Would a certificate issued by your lab three years ago and one issued last week hold up to the same level of scrutiny, calculated the same way?
